Subscription Management

Manage your Contextium subscription, billing, and payment methods.

Accessing Billing Settings

Navigate to SettingsBilling to manage your subscription.

Permission required: Workspace Owner only

Current Subscription

View your current plan details:

  • Plan name - Starter, Professional, Business, or Enterprise
  • Billing cycle - Monthly or annual
  • Price - Current price per user
  • Users - Number of active users
  • Next billing date - When you'll be charged next
  • Total - Monthly or annual cost

Starting a Free Trial

Professional and Business plans offer 14-day free trials.

Start Trial

  1. Navigate to SettingsBilling
  2. Find the plan you want to try
  3. Click Start Free Trial
  4. Explore features (no credit card required)

During trial:

  • Full access to all plan features
  • Can cancel anytime
  • No charges until trial ends
  • 24-hour reminder before trial ends

Converting to Paid

Before trial ends:

  1. Navigate to SettingsBilling
  2. Click Add Payment Method
  3. Enter credit card information
  4. Click Subscribe

Trial converts to paid subscription automatically if payment method is on file.

Upgrading Your Plan

How to Upgrade

  1. Navigate to SettingsBilling
  2. Click Upgrade Plan
  3. Select new plan (Professional, Business, or Enterprise)
  4. Choose billing frequency (monthly or annual)
  5. Enter payment information (if first paid plan)
  6. Review charges
  7. Click Subscribe

Immediate Changes

When you upgrade:

  • New features activate immediately
  • Higher limits apply instantly
  • Prorated charge for current billing period
  • Future bills reflect new price

Prorated Charges

Upgrading mid-cycle? You pay only for time remaining:

Example:

  • Currently on Professional ($15/user/month)
  • 15 days left in billing cycle
  • Upgrade to Business ($25/user/month)
  • Prorated charge: ~$5/user for remaining days
  • Next month: Full $25/user charge

Downgrading Your Plan

How to Downgrade

  1. Navigate to SettingsBilling
  2. Click Change Plan
  3. Select lower plan
  4. Review what you'll lose:
    • Storage reduction
    • Feature removal
    • User limit changes
  5. Click Downgrade

Downgrade Timing

Downgrades take effect at end of current billing period:

  • Keep current features until period ends
  • Adjust usage before downgrade (reduce users, files, storage)
  • Receive credit for unused portion

Downgrade Requirements

Before downgrading, ensure you meet new plan limits:

Downgrading to Starter:

  • ✅ 2 or fewer users
  • ✅ 25 or fewer files
  • ✅ Under 50MB storage

Downgrading to Professional from Business:

  • ✅ 25 or fewer users
  • ✅ Under 5GB per user storage

14-Day Grace Period Policy

If you exceed your new plan limits after downgrading, Contextium provides a 14-day grace period to adjust your usage.

During Grace Period (Days 1-14):

  • Full access to all features
  • Yellow warning banner showing countdown
  • Email reminders at Day 1, Day 7, and Day 13
  • Can continue working normally

After Grace Period Expires (Day 15+):

If limits are still exceeded, enforcement begins:

CLI & API Access:

  • Completely blocked with 403 errors
  • Cannot use Contextium CLI
  • Cannot use MCP integration
  • API requests fail until compliance

File Operations:

  • Read-only mode - Can view but not edit
  • Cannot create new files
  • Cannot edit existing files
  • Cannot upload files
  • Cannot delete files
  • Version history remains viewable

Team Members:

  • Excess members automatically suspended
  • Oldest members suspended first (by join date)
  • Workspace Owner never suspended
  • Suspended members receive notification
  • Cannot log in until compliance or upgrade

How to Restore Access:

Full access restores immediately when you either:

  1. Upgrade to higher plan

    • All restrictions lifted instantly
    • Suspended members automatically restored
    • CLI/API access returns
    • Files become editable
  2. Reduce usage to meet limits

    • Remove excess team members
    • Delete files to get under limit
    • Free up storage space
    • Restrictions lifted automatically

Grace Period Notifications

You'll be notified via:

  • Dashboard banner - Prominent warning with countdown
  • Email alerts - Day 1, Day 7, Day 13, and Day 15
  • Usage page - Detailed grace period status
  • Slack (if configured) - Real-time updates

Multiple Limit Violations

If you exceed multiple limits (e.g., users AND files):

  • Single grace period applies to all violations
  • Must resolve all violations to restore full access
  • Dashboard shows all exceeded limits
  • Clear guidance on what to fix

Grace Period Reset

The grace period resets if:

  • You come back under limits, then exceed again later
  • You upgrade and later downgrade again
  • New 14-day period starts from new violation date

Changing Billing Frequency

Switch to Annual Billing (Save 20%)

  1. Navigate to SettingsBilling
  2. Click Switch to Annual
  3. Review annual price
  4. Click Confirm
  5. Charged immediately for 12 months
  6. Credit applied for unused monthly time

Switch to Monthly Billing

  1. Navigate to SettingsBilling
  2. Click Switch to Monthly
  3. Takes effect at end of annual period
  4. No refund for unused annual time
  5. Next charge: Monthly rate at end of annual period

Managing Users

Add Users

  1. Navigate to SettingsBilling
  2. Click Add Users
  3. Enter number of additional users
  4. Review prorated charge
  5. Click Confirm
  6. Invite new team members

Charges prorated for current period.

Remove Users

  1. Remove team members from workspace
  2. Navigate to SettingsBilling
  3. Confirm user count reduction
  4. Credit applied to next bill

Note: Only active users (logged in during billing period) are charged.

Payment Methods

Add Payment Method

  1. Navigate to SettingsBilling
  2. Click Add Payment Method
  3. Enter credit card details
  4. Click Save

Contextium securely stores payment information via Stripe.

Update Payment Method

  1. Navigate to SettingsBilling
  2. Click Update Payment Method
  3. Enter new card details
  4. Click Save

Change takes effect immediately.

Remove Payment Method

  1. Navigate to SettingsBilling
  2. Click Remove Payment Method
  3. Confirm removal

Note: Cannot remove payment method on active paid plan. Must downgrade to Starter first.

Failed Payments

If payment fails:

  • Email notification sent immediately
  • Retry automatically in 3 days
  • Second retry in 7 days
  • If still failing, account downgraded to Starter

Update payment method to avoid service interruption.

Billing History

View Invoices

  1. Navigate to SettingsBilling
  2. Click Billing History
  3. View all past invoices

Each invoice shows:

  • Invoice number
  • Date
  • Amount charged
  • Plan details
  • Number of users
  • Payment method used

Download Invoices

  1. Navigate to Billing History
  2. Click invoice to download
  3. Download as PDF

Invoices include:

  • Company/workspace name
  • Billing address
  • Itemized charges
  • Payment details

Update Billing Information

Update name and address on invoices:

  1. Navigate to SettingsBilling
  2. Click Billing Information
  3. Update:
    • Company name
    • Billing address
    • Tax ID (if applicable)
  4. Click Save

Changes apply to future invoices only.

Cancelling Your Subscription

Cancel Subscription

  1. Navigate to SettingsBilling
  2. Click Cancel Subscription
  3. Select reason for cancelling (optional)
  4. Click Cancel Plan

When you cancel:

  • Subscription continues until end of current billing period
  • No future charges
  • Keep all features until period ends
  • Automatically downgrade to Starter at period end

What Happens After Cancellation

At end of billing period:

  • Downgrade to Starter plan
  • Must reduce usage to meet Starter limits:
    • 2 users maximum
    • 25 files maximum
    • 50MB storage maximum
  • Keep all data (if within limits)
  • Lose paid features (API, Slack, SSO, etc.)

Reactivate Subscription

Changed your mind?

  1. Navigate to SettingsBilling
  2. Click Reactivate Subscription
  3. Reactivates at end of current period
  4. No gap in service

Enterprise Billing

Enterprise plans have custom billing:

  • Annual contracts
  • Custom payment terms
  • Purchase orders accepted
  • Invoiced billing
  • Wire transfer payment
  • Custom billing cycle

Taxes

Sales Tax

Contextium collects sales tax where required:

  • US states requiring sales tax
  • VAT in EU countries
  • GST in applicable countries

Tax calculated automatically based on billing address.

Tax ID

Add tax ID to billing information:

  1. Navigate to SettingsBilling
  2. Click Billing Information
  3. Enter Tax ID/VAT number
  4. Click Save

Tax ID appears on invoices and may reduce/eliminate tax charges.

Refund Policy

30-Day Money-Back Guarantee

Get full refund if you cancel within 30 days of first payment:

  1. Email support@contextium.io
  2. Request refund
  3. Processed within 5-7 business days

Unused Annual Credits

Cancelled mid-year on annual plan:

  • No automatic refund
  • Credit can be applied to different workspace
  • Contact support to discuss options

Price Changes

Contextium may adjust pricing:

  • 30 days notice for price increases
  • Current customers grandfathered for 12 months
  • Annual plans locked at subscription price
