Workspace Settings

Configure workspace-wide settings and preferences.

Accessing Workspace Settings

Navigate to SettingsWorkspace to manage workspace configuration.

Permission required: Workspace Owner or Admin

Basic Information

Workspace Name

Update your workspace display name:

  1. Navigate to SettingsWorkspace
  2. Click Edit next to workspace name
  3. Enter new name
  4. Click Save

Workspace name appears:

  • In workspace switcher
  • In browser title
  • In email notifications
  • In invitations

Workspace Slug

Your unique workspace identifier used in URLs:

https://app.contextium.io/workspace/your-slug

To change your slug:

  1. Navigate to SettingsWorkspace
  2. Click Edit next to slug
  3. Enter new slug
  4. Click Check Availability
  5. If available, click Save

Slug requirements:

  • 3-50 characters
  • Lowercase letters, numbers, hyphens only
  • Must be unique across Contextium
  • Cannot be changed more than once per month

Warning: Changing slug breaks existing links and bookmarks. Update integrations and documentation.

Workspace Metadata

View read-only information:

  • Workspace ID - Unique identifier for API use
  • Created - When workspace was created
  • Owner - Current workspace owner
  • Your Role - Your permission level
  • Member Count - Number of team members
  • Plan - Current subscription tier

Workspace Preferences

Default Project

Set default project for new files:

  1. Navigate to SettingsWorkspace
  2. Select Default Project dropdown
  3. Choose project
  4. Click Save

New files are automatically added to this project unless specified otherwise.

Time Zone

Set workspace time zone:

  1. Navigate to SettingsWorkspace
  2. Select Time Zone dropdown
  3. Choose your time zone
  4. Click Save

Affects:

  • Timestamp displays
  • Scheduled reports
  • Audit log times
  • Email notification times

Date Format

Choose date display format:

  • MM/DD/YYYY (US)
  • DD/MM/YYYY (European)
  • YYYY-MM-DD (ISO)
  1. Navigate to SettingsWorkspace
  2. Select Date Format dropdown
  3. Choose format
  4. Click Save

Workspace Features

Enable/Disable Features

Control workspace-wide features:

Auto-save - Automatic file saving

  • Enabled by default
  • Saves every 30 seconds during editing
  • Can disable if you prefer manual saves

Version History - Track all changes

  • Always enabled

  • Cannot be disabled

  • Enabled by default

Comments - Team discussions

  • Enabled by default
  • Disable to prevent new comments

Tags - File categorization

  • Enabled by default
  • Disable to hide tag interface

Danger Zone

Warning: These actions have significant consequences.

Transfer Ownership

Transfer workspace ownership to another member:

  1. Navigate to SettingsWorkspace
  2. Scroll to Danger Zone
  3. Click Transfer Ownership
  4. Select new owner from dropdown
  5. Enter your password
  6. Click Transfer

After transfer:

  • You become an Admin
  • New owner controls billing and workspace deletion
  • Transfer cannot be undone (new owner must transfer back)

Requirements:

  • New owner must be an existing workspace member
  • New owner must accept the transfer
  • Only current owner can initiate transfer

Leave Workspace

Leave a workspace you're a member of:

  1. Navigate to SettingsWorkspace
  2. Scroll to Danger Zone
  3. Click Leave Workspace
  4. Confirm you want to leave
  5. Click Leave

After leaving:

  • You lose access immediately
  • Your contributions remain (anonymized)
  • Someone must re-invite you to rejoin

Note: Workspace owners cannot leave. Must transfer ownership first.

Delete Workspace

Permanently delete the workspace and all contents:

  1. Navigate to SettingsWorkspace
  2. Scroll to Danger Zone
  3. Click Delete Workspace
  4. Review what will be deleted
  5. Type workspace name to confirm
  6. Click Delete Workspace

What gets deleted:

  • All projects and files
  • All version history
  • All team members removed
  • Subscription cancelled
  • All data permanently deleted after 30 days

Grace period: 30 days to restore from trash before permanent deletion.

Only workspace owners can delete workspaces.

Moving Projects Between Workspaces

When deleting a workspace, you can move projects to another workspace. If projects with the same name already exist in the destination workspace, Contextium automatically handles conflicts:

Automatic Conflict Resolution:

  • Projects with duplicate names are automatically renamed
  • A sequential number is added to the slug (e.g., project-name-1, project-name-2)
  • Display names also get a number in parentheses (e.g., "Project Name (1)")
  • You can rename projects after the move completes

Example:

Original workspace has: "Documentation"
Target workspace has: "Documentation"

After move:
- Existing project: "Documentation" (slug: documentation)
- Moved project: "Documentation (1)" (slug: documentation-1)

Storage Considerations:

  • Moving projects updates storage usage in both workspaces
  • If the move causes the target workspace to exceed its storage limit, a 14-day grace period begins
  • During grace period, all features remain accessible
  • After grace period, you must upgrade or reduce storage to restore full access

Important: Project moves are immediate and cannot be undone. Ensure you're moving to the correct workspace before confirming.

Workspace Branding

Available on Business and Enterprise plans.

Upload your logo:

  1. Navigate to SettingsBranding
  2. Click Upload Logo
  3. Select image file (PNG, JPG, SVG)
  4. Crop to desired size
  5. Click Save

Logo appears:

  • In workspace header
  • In email notifications
  • In shared links
  • In exported PDFs

Color Scheme

Customize workspace colors:

  1. Navigate to SettingsBranding
  2. Select Primary Color
  3. Select Accent Color
  4. Preview changes
  5. Click Save

Colors apply to:

  • Buttons and links
  • Navigation elements
  • Email templates

Custom Domain

Use your own domain (Enterprise only):

  • docs.yourcompany.com instead of yourcompany.contextium.io
  • Contact support to set up

Integrations

Configure workspace-wide integrations:

Slack

Connect workspace to Slack:

  1. Navigate to SettingsIntegrations
  2. Click Connect Slack
  3. Select Slack workspace
  4. Authorize permissions
  5. Configure notification channel
  6. Click Save

GitHub / GitLab

Sync with repositories:

  1. Navigate to SettingsIntegrations
  2. Click Connect GitHub or Connect GitLab
  3. Authorize access
  4. Select repositories
  5. Configure sync settings
  6. Click Save

Audit Configuration

Business and Enterprise plans only.

Audit Log Retention

Set how long to keep audit logs:

  1. Navigate to SettingsAudit
  2. Select retention period:
    • 90 days (Business)
    • 1 year (Enterprise)
    • Forever (Enterprise)
  3. Click Save

Audit Notifications

Get notified of important events:

  1. Navigate to SettingsAudit
  2. Enable notifications for:
    • Member additions/removals
    • Permission changes
    • Bulk deletions
    • API key creation
    • Login anomalies
  3. Select notification recipients
  4. Click Save

SSO Configuration

Business and Enterprise plans only.

Set Up Single Sign-On

  1. Navigate to SettingsSSO
  2. Select SSO provider (SAML, OAuth, OIDC)
  3. Enter provider configuration
  4. Test SSO connection
  5. Enable SSO enforcement
  6. Click Save

Regular Reviews

  • Review workspace settings quarterly
  • Audit team members monthly
  • Update branding as needed
  • Check integration status regularly

Security

  • Enable SSO for enterprise teams
  • Require 2FA for all members (Enterprise)
  • Review audit logs weekly
  • Limit admin access to trusted members

Organization

  • Choose clear workspace name
  • Set appropriate default project
  • Enable features your team needs
  • Disable unused features
